For one of our customer in Brussels, we are looking for an Administrative Support.

Function

Your responsibilities

Customer service

- You will provide the highest level of customer satisfaction by aiming to meet customer's expectation of the department
- You will inform team leads and concerned team members on a regular basis about important calls and requests from customers

Process and procedures

- You will implement efficiently the administration of procedures and processes of the company for assigned sales team
- You will contribute to the identification and implementation of more efficient operating practices and procedures
- You will act as a gatekeeper (for compliancy rules, policies and mindset)
- You will give input to the compliance officer, team lead, compliancy rules and regulation

Financial support

- You will ensure that purchases are covered by Purchase Order requests
- You will ensure the follow-up of financial processes from order to payment
- You will monitor the team budget in SAP and provide regular feedback to department head
- You will give input to the budget owners on budget status

Internal communication

- You will communicate frequently with stakeholders to ensure that goals and objectives are met
- You will pro-actively ensure coordination between departments in resolving day-to-day administrative and operational problems
- You will deliver high quality support to the healthcare professionals

Secretarial and administrative support

- You will provide a day-to-day administrative support in a timely manner
- You will read and analyze incoming mail, requests and reports
- You will prepare business correspondence according to required procedures
- You will handle telephone calls in an efficient way
- You will ensure effective document and record management in line with policies and procedures

Project management

- You will transfer project information in a timely manner to all relevant parties
- You will provide assistance to department projects to meet project objectives

Requirements

Skills

- You have excellent computer skills (Word, Excel, Powerpoint)
- You are a very good organizer
- You have planning skills
- You are able to solve problems
- You can take decisions when needed
- You are able to work in an independently way as well as within a team
- You have good verbal and written communication skills
- You pay attention to details
- You are pro-active, flexible and mind-set
- You are trilingual (Dutch, French, English)
